How we look after your information
This page explains what personal information we collect through this website, why we collect it, who else is involved in handling it, and the rights you have over it. We've tried to keep it in plain English.

1. Who we are
This website is run by Dynamic Home Care, a home care provider based in Kent. When this policy says “we”, “us” or “our”, it means Dynamic Home Care. We are the “data controller” for the personal information described here, which means we decide how and why it's used and we're responsible for looking after it.

This policy covers information collected through this website. If you go on to receive care from us, we'll give you separate information about how we handle your care records.
2. What we collect
We only collect personal information when you choose to send it to us using the contact form. The form asks for:
- your name
- your email address
- your phone number
- your message, and anything you choose to tell us in it
People often contact us about care for themselves or for a family member, so your message may include details about someone's health or care needs. Please only share what you're comfortable with — a short outline is plenty for a first conversation, and we can talk about the details in person or over the phone. If you're writing on behalf of someone else, please make sure they're happy for you to share their details with us.
We don't use analytics or tracking tools, and we don't build profiles of the people who visit this website.
3. How we use it
We use the information you send us to:
- reply to your enquiry by email or phone
- understand what kind of care or support you're looking for
- arrange a follow-up conversation or visit, if you'd like one
We won't use your details for marketing, we won't add you to a mailing list, and we will never sell or rent your information to anyone.
4. Our legal basis
UK data protection law (the UK GDPR and the Data Protection Act 2018) says we need a lawful reason, called a “legal basis”, to use your personal information. We rely on:
- Steps before a contract — when you ask us about arranging care, we need your details to respond and to discuss whether we can help.
- Legitimate interests — for general enquiries that aren't about arranging care, we have a legitimate interest in replying to people who get in touch with us. We only use your details in ways you'd reasonably expect.
Information about health is treated as “special category” data and has extra protection. If you choose to include health information in your message, we rely on your explicit consent, given by choosing to send it to us, and we'll only use it to respond to your enquiry. You can ask us to delete it at any time (see Your rights).
5. How long we keep it
If your enquiry doesn't lead to us providing care, we'll keep your message and contact details for 30 days after our last contact with you, in case you have follow-up questions, and then delete them.
If you do go on to receive care from us, your enquiry becomes part of your care records, which we're required to keep for longer under health and social care rules. We'll explain those retention periods to you separately.
6. Other organisations involved
We don't share your information with anyone except the service providers we need to run this website and handle your enquiry. They act on our instructions and are only allowed to use your information to provide their service to us.
Email delivery for the contact form
When you submit the contact form, your message is passed to Resend, an email delivery service, which sends it on to our business email inbox. Resend keeps a record of the emails it sends, including their content, for a limited time under its own retention policy. Our email is hosted by Zoho, so your message is then stored in our Zoho mailbox. You can read Resend's privacy policy.
Cloudflare (website hosting and spam protection)
This website is hosted by Cloudflare. Like any web host, Cloudflare processes technical information such as your IP address when your browser requests a page, so it can deliver the website to you and protect it from attacks.
The contact form is protected by Cloudflare Turnstile, which checks that a form is being submitted by a person rather than an automated spam program. To do this, it looks at technical information about your browser and device, such as your IP address and browser characteristics. Turnstile is used only for this security check, not for advertising or tracking you across other websites. You can read Cloudflare's privacy policy and the Turnstile privacy addendum.
Google Maps (Service Areas page)
Our Service Areas page can show the areas we cover on a map provided by Google Maps. When the map loads, Google receives information such as your IP address and may set cookies on your device. Google uses this information under its own privacy policy, and we don't control it or receive any of it.
Because of this, the map doesn't load automatically. Nothing is requested from Google until you press the “Show the map” button on the Service Areas page, and pressing it is how you agree to the map loading. If you'd rather not load it, the same page lists the areas we cover in plain text.
Once you've pressed the button, your browser remembers that choice, so the map loads straight away on later visits from the same browser. We don't receive or store that choice ourselves; it stays on your device.
You can change your mind at any time by pressing “Hide the map”, just below the map. That hides it and removes the remembered choice, so the map won't load again unless you press “Show the map”. Clearing this website's data in your browser settings does the same. Cookies Google has already set are stored by Google, so we can't remove them for you, but you can delete them in your browser settings. We may also share information if we're required to by law, for example if asked by a court or a regulator.
8. Data stored outside the UK
Some of the service providers named above are based in, or store data in, countries outside the UK, including the United States. Where that happens, the transfer is protected by safeguards recognised under UK law, such as the UK–US “data bridge” or standard contractual clauses approved by the Information Commissioner's Office.
9. Your rights
Under UK data protection law, you have the right to:
- Access — ask for a copy of the personal information we hold about you.
- Rectification — ask us to correct information that's wrong or incomplete.
- Erasure — ask us to delete your information.
- Restriction — ask us to limit how we use your information.
- Object — object to us using your information where we rely on legitimate interests.
- Data portability — ask for your information in a format you can pass to another organisation.
- Withdraw consent — where we rely on your consent, you can withdraw it at any time. This won't affect anything we did before you withdrew it.
Some of these rights only apply in certain situations. To use any of them, contact us using the details below. There's no charge, and we'll reply within one month. We may need to ask you to confirm your identity first, to make sure we're not giving your information to someone else.

11. Changes to this policy
We may update this policy from time to time, for example if we change the services we use to run the website. The date at the top of this page shows when it was last changed.
